Patient Care Coordinator

Key Responsibilities:

  • Patient onboarding and intake form management
  • Scheduling and calendar management via Practice Better
  • Invoicing and billing support
  • Calling, texting, and emailing patients with admin-related questions and follow-ups
  • Handling email inquiries and routing to Dr. Lila as needed
  • Importing lab results from lab portals (Rupa Health, Quest, etc.)
  • Creating patient-facing handouts and materials in Canva
  • Email marketing support as the practice grows

Requirements:

  • Experience with Practice Better (or equivalent EHR/patient management system)
  • HIPAA-compliant medical admin experience
  • Experience working in a medical, healthcare, or wellness setting
  • Comfortable calling, texting, and emailing patients professionally on behalf of a provider
  • Strong written and verbal communication skills
  • Organized, reliable, and able to manage your own time independently
  • Tech-comfortable — able to learn new platforms quickly
  • Basic familiarity with functional or integrative medicine — you don’t need to be an expert, but you should know what it is and be genuinely interested in it
  • Available during some PST business hours 
  • US-based with a reliable remote work setup

Bonus Skills (Nice to Have, Not Required):

  • Experience with Canva for patient handouts and materials
  • Comfortable on camera for Loom-style instructional videos (e.g. how to complete a SIBO breath test, how to order labs through Rupa Health)
  • Personal or professional background in a functional, naturopathic or integrative health setting
  • Experience with Rupa Health, Quest, or other lab ordering portals
  • Social media content support experience
  • Experience with Kajabi
  • Client-facing or enrollment conversations — experience speaking with prospective patients or clients to enroll them into a paid program or consult (not required but a major plus)

Dr. Lila Lewenstein is a licensed Naturopathic Doctor and founder of a fast-growing, fully virtual functional health practice for women.

The practice helps women get to the root of their chronic symptoms through comprehensive lab testing, individualized treatment protocols, and one-on-one care.

This role will directly support the day-to-day patient experience and operations of the practice. Currently this includes patient onboarding, scheduling, lab coordination, patient communication, and billing support.

We're looking for someone who's organized, reliable, and capable of moving projects forward with little to no direction — someone who can think critically, take initiative, and make good decisions quickly as the practice continues to scale.
